Compensation Overview
Hourly Compensation Range: $18 to $25 per hour
This is a full-time position and the actual wage will be determined based on the successful candidate’s previous experience and qualifications within the healthcare administration field.

We are currently hiring a Full-Time Clinical / Optical Store Assistant to join our passionate team at Eyetelligence Inc. This is a hands-on, customer-focused position that blends patient interaction, healthcare operations and optical store functions. Our clinic is seeking a well-rounded, dedicated and highly professional individual to support daily administrative operations and assist in delivering exceptional patient care services.

Role Responsibilities – Front Desk and Patient Coordination

Serve as the first point of contact by professionally answering incoming phone calls and scheduling patient appointments.

Handle voicemails, digital faxes, emails and social media messages with professionalism, accuracy and strict adherence to clinic protocols.

Maintain the clinic’s appointment recall system and proactively contact patients to confirm or rebook visits.

Review the day’s appointment schedule to personalize and streamline each patient’s visit.

Greet every patient warmly, establishing rapport while maintaining clinic professionalism.

Clearly explain clinic service fees at three critical touchpoints: booking, reminder communication and in-person check-in.

Provide accurate insurance predetermination and reconciliation; validate patient records and update electronic medical records (EMR) with current information before their visit.

Ensure patients are promptly checked in and guide them to complete all required documentation.
Role Responsibilities – Clinical and Optical Store Assistance

Operate pre-testing diagnostic equipment (training will be provided for all medical tools).

Assist with the transfer of patient data and medical information into the correct sections of the EMR system.

Guide patients in frame and lens selection, according to prescriptions issued by the attending optometrist.

Generate product and service invoices and facilitate payments from both patients and insurance companies.

Submit electronic insurance claims, reconcile payments and send digital invoices to patients post-reimbursement.

Help schedule follow-up consultations and specialist referrals as per physician guidance.
Additional Responsibilities and Expectations

Maintain strict cleanliness protocols in alignment with clinic hygiene standards.

Assist in inventory monitoring, replenishing clinic and retail supplies as needed.

Engage in ongoing training, staff development and participate in educational sessions, conferences and internal meetings.

Foster productive communication and collaboration with coworkers, doctors, management and third-party vendors.

Proactively support clinic directors and senior medical staff with administrative or patient-related tasks as assigned.
The hourly pay for this position will range between $18 and $25, depending on the candidate’s level of experience, education and skill set.
Additional compensation opportunities include:

Work Hours and Annual Closure Period

Shifts are primarily late morning: 10:00 a.m. to 6:00 p.m.

Clinic does not operate on statutory long weekends

Annual closure from December 24 to January 1 each year. Long-term team members (1+ year tenure) will be rewarded with a paid week off as a holiday bonus.
Vacation and Time Off
